AskOXO Service Terms.
One website. Clear service and usage terms.
Effective: 30 October 2026. Provided by OXO Digital.
These terms apply to AskOXO business subscriptions when incorporated into your accepted order. Requesting information does not start a paid subscription.
1. Service and agreed scope
AskOXO provides a branded website assistant using the business content and sources approved for the installation. The order form states the plan, one supported website, approved-page allowance, reply allowance, included setup, refresh frequency and any specifically agreed connections. Standard installation excludes bespoke development, unsupported platforms and third-party work unless expressly included in the order.
2. SaaS licence and intellectual property
AskOXO is provided as hosted software as a service (SaaS). Subject to the agreed terms and payment, OXO grants the customer a limited, non-exclusive, non-transferable right to use the service on the website identified in the order for the agreed service term. This is a right to use the service, not a sale or transfer of ownership of AskOXO, its source code or underlying software.
Except as expressly authorised in writing by OXO or permitted by applicable law, the customer must not copy, reproduce, distribute, sublicense, resell, make available to another party, or create a competing copy of AskOXO or its proprietary components. The customer must not attempt to obtain server-side source code, bypass access or usage controls, or reverse engineer the service except where such a restriction is prohibited by applicable law.
The customer may install, download and use only the connector, plugin, embed code or browser assets expressly supplied or made available by OXO as necessary for the authorised installation. That permission does not extend to extracting, redistributing or separately commercialising the service. No right to download, receive or self-host the complete AskOXO platform or its backend source code is granted.
OXO and its licensors retain their rights in the platform, software, designs, documentation and other proprietary service materials. The customer retains ownership of its existing branding, supplied content and customer data. Third-party or open-source components remain subject to their own licences. This clause does not claim ownership of the customer’s materials or restrict rights that cannot lawfully be restricted.
3. AI replies and usage allowance
Paid plans include the monthly AI-reply allowance stated in the order. An AI reply is a response that requires a request to the AI provider; a conversation may use several replies. Menu interactions or locally generated responses that do not call the AI provider do not consume this allowance. Unused replies do not roll over. The monthly allowance resets on the monthly anniversary of activation, using the last valid day where required for a shorter month. Each package covers one website with its own reply allowance.
Requests in progress reserve allowance to prevent simultaneous requests exceeding the plan. Where delivery of a provider response is uncertain, the reservation can remain held while OXO reviews the attempt. Confirmed service failures should be referred to OXO for review and an appropriate usage adjustment.
4. Reaching the limit
When the monthly allowance or an agreed protective spending limit is reached, further AI-generated answers may pause until the next allowance period or an agreed plan change. The assistant will offer the available enquiry/contact route. There are no automatic paid overages. Additional usage or upgrades require an agreed price before activation. Each additional website requires a separate package.
5. Prices, promotional terms and renewal
The order states the price, currency, billing period and any applicable tax. An annual plan is paid annually; a displayed monthly equivalent does not create a monthly payment agreement. A first-year promotion applies only to the period specified in the order. Renewal is subject to the applicable renewal price communicated by OXO and the renewal process in the order/general terms.
OXO may revise the price for a future renewal where the cost of providing AskOXO changes, including changes to third-party AI/token pricing, hosting or service delivery. Any change will apply only from the next renewal date, not during the current prepaid term. OXO will provide at least 30 days’ written notice stating the new price and effective date. You may decline the renewal before it takes effect without a renewal cancellation fee. If sufficient notice has not been given, the increase will not take effect until an appropriate notice period has been provided.
A revised renewal price is not permission for unlimited or unannounced charges. Any material reduction in the agreed service should also be communicated in advance with a clear option not to renew.
6. Content, accuracy and human review
The customer is responsible for supplying accurate, lawful and current business content and notifying OXO of material changes. AI responses can be incomplete or incorrect. The assistant does not guarantee sales, enquiries, search rankings or uninterrupted availability, and is not a substitute for professional advice. Prices, commitments and sensitive decisions should be confirmed through the business’s normal process.
7. Enquiries and third-party connections
Enquiry forwarding and CRM connections operate only for the destinations and scope agreed in the order. A booking, payment, stock check or live availability check is not included unless the relevant connection is specifically agreed and installed. Third-party outages or changes may affect these functions. OXO will explain material restrictions and reasonable alternatives when identified.
8. Privacy and security
The customer and OXO must agree their respective data-protection responsibilities, approved AI/service providers, processing locations, retention arrangements and any required data-processing agreement before activation. The customer must provide an appropriate visitor notice. Visitors should not be encouraged to submit passwords, payment-card details or sensitive personal information in ordinary chat. The assistant must not be represented as a human employee.
9. Acceptable use and protective suspension
The service must not be used for unlawful, abusive or deceptive activity. OXO may apply proportionate rate limits or temporarily restrict affected functions to address abuse, security incidents or excessive automated traffic. Where practical, OXO will notify the customer and explain the steps needed to restore service. Protective controls do not create a right to add unagreed charges.
10. Changes, cancellation and service end
Changes outside the agreed scope require a separate quotation. Cancellation and refund rights follow the signed order, OXO’s applicable general terms and mandatory law. At service end, the assistant may be disabled and the installation removed. Any export or deletion of customer data follows the agreed retention and data-processing terms; no unverified retention period is promised here.
11. Relationship to the main agreement
This addendum covers AskOXO-specific service and usage conditions. The agreed order and OXO general terms govern the remaining commercial and legal matters. The accepted order identifies the contracting parties, support scope and renewal procedure. The accepted order takes precedence over these service-specific terms, which take precedence over general terms on AskOXO-specific matters. Nothing in these terms excludes rights or liabilities that cannot lawfully be excluded.
